Accounts Recovery Officer / Accounts Receivable Officer
Geelong & Melbourne, VIC Full-time / Part-time
Ashford College is a growing Registered Training Organisation (RTO) delivering vocational education to domestic and international students across Geelong and Melbourne. We are seeking a motivated and detail-oriented Accounts Recovery / Accounts Receivable Officer to join our finance and operations team.
This role is critical to ensuring timely collection of student fees, maintaining accurate financial records, and supporting the financial sustainability of the organisation.
About the Role
You will be responsible for managing student accounts, following up outstanding fees, coordinating with students and education agents, and maintaining accurate receivables records. The role involves regular communication, reporting, and close collaboration with admissions, compliance, and management teams.
Key Responsibilities
- Monitor student accounts and outstanding balances
- Follow up overdue payments via phone calls, emails, and messages
- Maintain and update accounts receivable records and tracking sheets
- Reconcile payments received through systems such as aXcelerate, Stripe, and Xero
- Prepare weekly and monthly receivables and collection reports
- Coordinate with agents regarding unpaid student fees
- Support payment plans and instalment tracking
- Escalate high-risk accounts in line with internal procedures
- Assist with invoicing, receipts, and financial documentation
- Maintain professionalism and compliance when handling sensitive financial matters
Essential Requirements
- Experience in accounts receivable, collections, or finance/admin roles
- Strong communication and negotiation skills
- High attention to detail and strong organisational ability
- Ability to manage large volumes of accounts and follow-ups
- Confidence working with spreadsheets and finance systems
- Professional phone manner and customer service approach
- Ability to work independently and meet deadlines
Desirable
- Experience in an RTO, education, or service-based environment
- Familiarity with aXcelerate, Xero, Stripe, or similar systems
- Experience managing payment plans and international student accounts
- Understanding of basic compliance and privacy requirements
- Advanced Excel / Google Sheets skills
