Key Responsibilities:
-Customer Communication: Answer incoming calls and respond to emails promptly and professionally.
-Customer Support: Assist customers with inquiries, bookings, and service requests, ensuring a positive experience.
-Technician Liaison: Coordinate with technical staff to schedule service calls, provide job details, and follow up on completed work.
-Supplier Coordination: Place and track orders with suppliers, monitor inventory needs, and follow up on outstanding deliveries.
-Delivery Management: Accept and process deliveries, ensuring all items are logged and directed to the correct location.
Financial Administration:
-Process customer payments accurately (cash, EFT, or card).
-Prepare and issue invoices, and assist with accounts receivable tasks.
-Maintain accurate financial records in office systems.
-System & Records Management: Maintain data entry, documentation, and records using Ascora and Microsoft Office applications.
-Office Support: Assist with general administrative tasks, filing, and document preparation.
Process Improvement: Identify opportunities to streamline office procedures and improve efficiency.
Skills & Experience:
-Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
-Experience with Ascora or similar service management systems is advantageous.
-Basic financial administration experience, including invoicing and payment processing.
-Experience in accounts receivable, including follow-up on overdue payments and customer account management
-Excellent organizational, multitasking, and time management skills.
-Strong communication and interpersonal abilities, with a professional and approachable manner.
-Previous experience in customer service, office administration, or similar roles preferred.
-Minimum 1-2 years of administrative or customer service experience required
-Must have the right to work in Australia
