Allied Health - Psychology Clinic Administration Assistant

We are looking for a part time employee 4 days a week

Families In Focus Psychology Service is an established psychology practice specialising in providing psychological services to children and adolescents. Our team of experienced psychologists have a high level of expertise in the assessment and treatment of a range of childhood difficulties.

We are seeking a passionate and dedicated Administration Assistant to serve as the first point of contact for our clients and their families. 

Your daily responsibilities will include:

  1. Providing an exceptional level of service via phone, email, and in person.

  2. Utilising Practice Management Software, specifically Halaxy and Medical Objects.

  3. Scheduling and organising patient appointments and data entry of patient information with a high level of accuracy and strong attention to detail

  4. Completing intake processes for new clients.

  5. Managing invoicing and billing via merchant terminals and online systems.

  6. Maintaining client records, tracking sheets, and filing systems.

  7. Assisting psychologists with various administrative requests.

The successful candidate will possess:

  1. Prior administrative experience within an Allied Health or medical practice.

  2. Experience with Medicare billing.

  3. Proficiency in Microsoft Office (Word, Excel, Google Drive and OneDrive) is essential

  4. Strong attention to detail and the ability to meet set standards.

  5. A dependable, professional, and ethical work character.

  6. Exceptional interpersonal skills characterised by a respectful and helpful nature.

  7. Patience and compassion towards clients and their families maintaining confidentiality and the ability to manage sensitive information and situations.

  8. Be able to work individually and within a team.

  9. Be able to self-manage with tasks that need to be completed each day.

  10. Ability to learn new skills quickly and easily

  11. Is flexible and adaptable to operational scheduling needs
