We are seeking an experienced Events Manager to lead the end-to-end planning and delivery of GP Refresh conferences. This is a senior operational role responsible for liaising with conference centres, delegates, sponsors, exhibitors, speakers, and suppliers, ensuring flawless execution across all event components — including Gala Dinners and VIP functions.
Key Responsibilities
Conference & Event Delivery

Plan, manage, and deliver GP Refresh conferences from concept to completion

Develop event timelines, budgets, run-sheets, and operational plans

Coordinate multi-stream conference programs, workshops, exhibitions, and networking events

Ensure events align with CPD accreditation and medical conference standards
Conference Venue & Convention Centre Liaison

Act as primary liaison with conference venues (e.g. ICC Sydney, MCEC, BCEC, international venues)

Manage venue contracts, space planning, AV, catering, accommodation blocks, and logistics

Coordinate site inspections, floorplans, bump-in/bump-out schedules, and venue compliance
Gala Dinner & VIP Event Management

Lead planning and delivery of Gala Dinners, award nights, and VIP networking events

Manage gala venues, theming, staging, entertainment, AV, catering, and guest experience

Coordinate VIP seating plans, protocols, run-sheets, rehearsals, and speaker management

Liaise with sponsors regarding gala branding, presentations, and hospitality inclusions
Delegate Management

Oversee delegate experience end-to-end (registration, communications, on-site delivery)

Work with CRM and registration platforms for tracking and reporting

Manage delegate enquiries, special requirements, and VIP arrangements
Sponsors & Partnerships

Act as key liaison for sponsors and strategic partners

Deliver sponsor entitlements including branding, speaking slots, exhibitions, and hospitality

Ensure sponsor contracts and deliverables are met accurately and on time
Exhibitor Management

Manage exhibitor onboarding, contracts, logistics, and on-site operations

Coordinate exhibition floorplans, exhibitor manuals, and compliance requirements

Liaise with exhibition builders, freight providers, and venue teams
Speakers & Faculty Coordination

Coordinate speaker logistics including travel, accommodation, AV, and presentations

Liaise with Scientific and Advisory Committees to support program delivery
Risk, Compliance & Reporting

Ensure WHS compliance and venue regulations are met

Manage contingency planning and on-site issue resolution

Conduct post-event evaluations and reporting
