About the Role

Our fun, dynamic team is seeking an organised and proactive Works Coordinator to support our arborist and field teams in the successful delivery of proactive and reactive work orders. This role is critical to ensuring work orders are processed accurately, on time and in line with stakeholder requirements.

You’ll be the key link between field teams, clients and internal stakeholders. Keeping communication clear, portals updated and work progressing smoothly from start to finish.

Key Responsibilities

  • Support arborists and field teams with the end-to-end management of work orders

  • Coordinate proactive and reactive works, including variations, approvals and claims

  • Follow up with field teams, clients and stakeholders to ensure timely updates

  • Maintain accurate records and communications within relevant stakeholder portals

  • Assist the team until work orders reach completed and claimed status

  • Ensure compliance requirements are met by proactively liaising with stakeholders

  • Provide ad hoc administrative support as required to meet stakeholder expectations

Skills & Experience

Essential:

  • Excellent written and verbal communication skills

  • Strong time management and organisational abilities

  • Ability to manage multiple work orders in a fast-paced environment

  • Close attention to detail and accuracy in data entry

  • Accounts Reconciliation

  • Ability to follow set procedures and prioritise workload

Desirable:

  • Administration or data entry qualification

  • Experience in multi-trade or arborist industries

  • Understanding of schedules of rates and stakeholder portal systems

What You’ll Bring

  • Proven experience providing sound administrative support

  • Strong telephone and stakeholder engagement skills

  • Ability to prepare correspondence, quotes and estimations

  • Confidence in dealing with subcontractors and stakeholders

  • A team-focused approach with the ability to work independently

  • Fully equipped workstation with PC and internet access

  • This is an office-based role with no work-from-home option

Hours of Work

This is a salaried position operating in a dynamic service environment.

Standard hours are Monday to Friday, with occasional evening or weekend assistance required to meet operational demands.
