ABOUT THE ROLE
We’re looking for a proactive and experienced Rental Coordinator to join our team. This role is critical in supporting our rental hire operations, ensuring our fleet is compliant, well maintained and operating at peak efficiency. You’ll work closely with internal teams and external customers to keep workflows running smoothly across day-to-day operations - contributing to a business that values innovation, excellence and strong partnerships.
KEY RESPONSIBILITIES

Administrative Support: Perform data entry, manage documents, coordinate shared inbox & provide customer service to internal & external stakeholders.

Cross-functional Departmental Support: Assist with billing, purchase orders, parts receipting, deliveries and freight coordination, while managing your workflow effectively, contributing to a collaborative team environment, upholding company values and providing leave coverage to sister‑company (SMH Equipment) when required.

Fleet Coordination & Maintenance: Maintain the Fleet Asset Register and fleet management software (Latner), coordinate procurement and onboarding of new rental assets, schedule servicing and repairs, track warranties, monitor compliance requirements, manage work orders end‑to‑end and support monthly rental invoicing and pass‑out processes.

Health & Safety Compliance: Promote a safe working environment by following company policies & escalating issues when necessary.
WHAT YOU’LL BRING
-
3-5 years’ experience in logistics, fleet coordination, service scheduling or a similar coordination role

Extensive experience in work order / fleet management, servicing schedules, warranty tracking and/or asset compliance

Proficiency in Microsoft 365 & Xero

Experience with job or fleet management platforms (Latner, WorkflowMax or similar) – desirable

Strong organisational, documentation & confident communicator

Ability to build genuine rapport with internal teams, suppliers & customers

Capable of working independently & collaboratively

Current driver’s license
