We are excited to offer a casual administration opportunity supporting our experienced admin team during periods of sick leave, holiday and occasional emergency cover. This role is ideal for someone who enjoys being a trusted, capable presence and values flexibility, purpose and meaningful work.
We offer you structured support to guide your transition into this role, so that you end up loving CQ Psych Services as much as we do! This is a new position to support a growing team within an established private practice. Due to growth and demand, we currently have an opportunity for an additional Reception & Admin Supportto join our Client Relations Team. Your role will involve liaising with other Team members to provide our clients with experiences that are first class. This is a busy and diverse role responsible from greeting clients in person and on the telephone, booking clients and managing appointments, invoicing and payments, and other day to day requirements to ensure the practice runs smoothly. There is a need to multi-task to ensure clients are well looked after whilst ensuring administrative efficiency and accuracy.

As an Reception & Admin Supportmember your primary focus is on booking/billing and exceptional service. We are looking for a professional, efficient, detail orientated, friendly and empathic person who can add value to our existing team.
This role would suit someone who:
- Is generally available to assist with short-notice cover when required and values being a reliable support to the team
- Has strong time management and prioritisation skills and can quickly determine what needs attention first
- Is comfortable working in a mental health–aligned administration environment, including calm, respectful communication with clients who may be distressed or vulnerable
- Works confidently both independently and as part of a team
- Is happy to utilise our comprehensive training portal, documented procedures and resources to support their work
- Can consistently follow confidentiality, privacy and compliance requirements in line with practice policies
Key responsibilities during casual shifts include:
- Phone cover and front desk triage
- Appointment booking, rescheduling and cancellations
- Monitoring and responding to shared inboxes in line with practice protocols
- Processing routine administrative tasks as required
Training and support:
You will receive structured onboarding and ongoing access to our training portal and resources. While support is always available, this role suits someone who is comfortable following established systems and who understands the importance of committing to agreed cover shifts when rostered or requested.
