About the Role
We are seeking a highly organised, values-aligned Administration Officer to support our growing team. This role plays a vital behind-the-scenes and front-of-house function, ensuring the smooth day-to-day operation of our services and spaces while supporting Disability Coaches and leaders who work directly with children, young people, and adults.
You will be the first point of contact for families, participants, and stakeholders and play an important role in creating a welcoming, well-presented, and safe environment — including reception duties, community event preparation, and hospitality support — while also supporting compliance, documentation, scheduling, and internal systems aligned with NDIS and Child Safety frameworks.
This role is ideal for someone who is calm, capable, detail-oriented, and deeply committed to participant-centred service delivery.
Key Responsibilities
Administration & Compliance

Maintain accurate staff and participant records in line with privacy, confidentiality, and legislative requirements

Support compliance with NDIS and Child Safety frameworks (screening, training, documentation)

Manage onboarding documentation, shift reports, training records, and internal files
Scheduling & Coordination

Manage shared calendars for leadership, staff, and participants
-
Coordinate appointments, meetings, programs, and community activities

Support rosters, weekly planners, and booking confirmations
Front Office, Reception & Communication

Act as the first point of contact, greeting participants, families, and visitors with warmth and professionalism

Manage incoming phone calls, emails, and general enquiries, triaging matters appropriately

Prepare reception and shared spaces for daily use, meetings, and community programs

Offer tea, coffee, and light hospitality to guests, families, and stakeholders attending the space

Handle correspondence and assist with printing, distribution, and office coordination
Community Events & Space Preparation

Support the set-up and pack-down of community programs, meetings, and events held at the office

Assist with room configuration, materials preparation, signage, and general presentation

Ensure spaces are welcoming, culturally safe, and fit-for-purpose for participants and visitors
Leadership & Team Support

Provide administrative support to the General Manager and Leadership Team

Assist with audits, reviews, meetings, and internal process improvements

Contribute to a positive, solutions-focused office culture
Office Management & Presentation

Maintain a clean, tidy, and well-stocked front office, kitchen, and shared spaces

Complete light daily cleaning tasks to ensure hygiene, safety, and presentation standards are met

Coordinate office supplies, deliveries, and contractor liaison as required
Essential Requirements

Previous administration experience (community services, disability, health, or education preferred)

Strong organisational, communication, and time-management skills

High attention to detail and ability to manage competing priorities

Digital proficiency (Microsoft Office; Xero and CRM systems such as Flow Logic desirable)

Understanding of, or willingness to learn, NDIS and Child Safety requirements

Current or willingness to obtain:

Current driver’s licence and reliable vehicle
