Admin Support

About the role
We are recruiting a motivated, confident, attention to detail, methodical person to join our expanding Gladstone team. Working alongside a team of professionals, you will gain extensive administration experience and provide support not only to the local Gladstone Branch but also to our Queensland Head Office in Brisbane. There will be available car parks or street parking.

 
You will gain experience across a range of areas which may include:

 1.       Administrative Tasks

 ·         Organise and maintain printing and stationery.

·         General office duties.

·         Check, format and finalise all quotes and tenders.

·         Order PPE and maintain registers to adhere to EBA requirements.

·         Provide data entry and processing and keep databases up to date.

·         Assist with specific project related activities as directed such as scheduling, purchasing and processing of variations.

·         Attend to invoicing, filing, and report and document preparation as required.

·         Liaise with Nilsen functions such as Payroll, HSE, Finance, and Administration Support.

·         Provide support as required to the Division Administrator.

2. TEGG
·         Undertake Customer Care Process as per the Nilsen TEGG model.

·         Liaise with and schedule Technicians for TEGG jobs.

·         Prepare and complete TEGG Client Reports and send to Sales Representatives.


3. Provide Customer Service
·         Respond to and resolve all queries in a customer-focussed, timely and efficient manner.

·         Suggest improvements to procedures and processes and implement any changes as agreed.

4. Assist Engineering Services Operations

·         Preparation and receipt purchase orders, travel bookings and freight as required.

·         Prepare and complete Test reports and distribute.

·         Compilation of audits for HSE Manager.

·         Assist with project activities as required.

·         A confident, friendly nature & smart/corporate presentation

·         An interest in working within an administrative role

·         The knack of picking up things when trained and demonstrating initiative

·         Mature outlook and an understanding of professional boundaries

·         Experience in customer service

·         Computer proficiency (Word, Excel and Outlook)

·         Clear written and verbal communication skills;

·         Proven listening and interpersonal skills;

·         Ability to work independently and within a team
