What are we looking for
We are seeking a detail-oriented and proactive Administration Assistant to join our team. This is a fantastic opportunity for someone looking to build a career in office administration, with a strong focus on data entry, clerical support, compliance software management, and professional development.
Tasks/Responsibilities
- Accurate and timely data entry across various systems
- Maintain digital and physical filing systems
- Answer and direct phone calls and emails
- Draft internal communications and letters
- Assist with HR documentation and system updates
- Coordinate deliveries, mail, and office supplies
- Support internal PPE and equipment sales
- Manage staff, contractor, and visitor inductions
- Assist with Health and Safety Representative (HSR) committee coordination
- Administer the DoneSafe compliance software platform, including:
- Managing incident and hazard reporting workflows
- Maintaining training and certification records
- Supporting audit and inspection scheduling and documentation
- Monitoring compliance obligations and corrective actions
- Generating reports and dashboards for safety and risk insights
- Ensuring data accuracy and timely updates across modules
- Facilitating user access and engagement across teams
What you'll bring:
Must have
- Previous experience in administration or clerical roles
- Microsoft office suite skills (including Excel, Word, Outlook and Sharepoint)
- Ability to work semi-autonomously and to handle multiple enquiries
- Excellent verbal and written communication skills
Preferred
- Previous experience in administration or clerical roles
- Familiarity with compliance or safety management software (e.g., DoneSafe)
- Strong time management and organisational skills
- Understanding of WHS or ISO compliance frameworks
