Administration Co-ordinator (Part-Time)

Aqua Plumbing and Civil is a growing plumbing and civil construction business based in Warragul. We work across commercial, industrial and civil projects and pride ourselves on delivering high-quality work and strong customer relationships.
We are seeking a reliable and proactive Administration Co-ordinator to join our team on a part-time basis (3 days per week). This role is ideal for someone who enjoys variety, takes pride in their work, and wants to play a key role in supporting a busy and growing business.
About the Role
Reporting directly to the Managing Director, you will be responsible for the day-to-day administration of the business. Your duties will vary and include handling phone enquiries, setting up jobs and projects, assisting with accounts, and supporting project and contract administration.
This is a hands-on role where organisation, attention to detail, and a positive attitude are essential.
Key Responsibilities

Answer and manage inbound phone enquiries

Set up jobs and project portfolios in SimPRO

Complete and update tasks using the SimPRO App

Upload materials and labour times
-
Assist with contract administration and project variations

Follow up purchase orders with builders and suppliers

Assist with reconciling supplier invoices and purchase orders (SimPRO & Xero)

Prepare and issue invoices

Manage accounts payable and receivable
-
Receive and follow up employee timesheets

Provide general administrative support to management

Greet customers, suppliers, trades and project managers in a professional manner
As the role develops, there may be opportunities to take on additional responsibilities such as payroll, insurance administration, and liaison with accountants and banks.
About You
You will ideally have:

Previous experience in an administration role

Experience in construction, maintenance or trade services (preferred but not essential)

Strong phone manner and communication skills

Excellent time management and organisational skills

High attention to detail and accuracy

Accounts payable and receivable experience

Confidence using computers and software systems

Ability to learn SimPRO and Xero (training provided)

A positive, reliable and proactive attitude

Professional presentation and a friendly demeanour

Ability to work well within a small team environment
