Oculus Accounting is looking for a warm, organised and detail-driven Client Services Assistant to join our team in Tweed Heads.

This is a key role in our practice. You'll be the calm, capable glue that keeps clients supported, the accountants organised, and the office running smoothly. While full-time is ideal, we're a genuinely flexible, parent-friendly workplace and are happy to discuss an arrangement that works for the right person.

Our current CSA is moving into another internal role, so you'll have a proper handover, support from another CSA, and backing from our admin team. We're a small, predominantly female office with an approachable director and a real respect for work–life balance (no heroic overtime culture at Oculus).

What you'll be doing

You'll play a central role in the day-to-day operation of the practice, including:

  • Acting as a key point of contact for clients, responding to queries with care and professionalism

  • Supporting the director and accountants by anticipating needs and keeping workflows organised

  • Preparing outgoing correspondence and maintaining client files, obtaining necessary documents, and responding to general inquiries

  • Keeping client records accurate, up to date, and compliant

  • Coordinating appointments and managing follow-ups to ensure commitments are met

  • Liaising with ATO and ASIC on client matters

  • Contributing to continuous improvement of systems and processes over time

About you

You're organised, dependable, and confident. You take pride in doing things properly and can work independently once you understand what's expected.

Australian work rights are required for this position.

Ideally, you will bring:

  • Previous experience in accounting services, professional services, or a similar client-facing administration role

  • Confidence dealing directly with clients and handling sensitive information with discretion

  • Strong attention to detail and a structured, methodical approach to work

  • Clear written and verbal communication skills

  • Solid organisational skills and the ability to manage competing priorities

  • A mature, professional mindset

Experience with Xero or working in an accounting practice is a plus, but not essential. We care more about reliability, professionalism and values that fit, rather than certificates on a wall. The salary offer will reflect the level of experience you bring.
