About the role

Maclean Partners' is seeking a dedicated Client Services Implementation Officer/Financial Planning Administration Support to join our team in Townsville, Queensland. This full-time position will provide crucial administrative and client support to our financial planning professionals, ensuring the smooth running of our client services.

What you'll be doing

  1. Prepare all SOA folders for SOA presentations - including completion of any application forms where required, including online super, investment and insurance applications for new and existing clients.

  2. Implementation of all investment, superannuation & insurance recommendations including following up with the product provider and liaise with clients on the progress of their implementations via phone and/or email.

  3. Maintain the currency of the client database, client portfolios and product information held on Compass (Xplan software) upon the finalisation of implementation.

  4. Complete tasks within Compass on a daily basis and ensure tasks and threads are created in Compass for all future client action items.

  5. Handling client enquiries and contacts

  6. When required, carry out general office administration including reception, greeting clients, answering incoming phone calls and scanning.

  7. Maintain a clean and safe workspace, and abide by workplace health and safety policies and procedures.

  8. Other tasks as directed.

What we're looking for

  1. A positive, adaptable, and customer-focused attitude

  2. Excellent communication and interpersonal skills, with the ability to liaise effectively with clients and colleagues

  3. Minimum 2 years' experience in a similar administrative or client services role, preferably within the financial services or professional services industry

  4. Experience with financial planning software (e.g., XPLAN/Compass - will be considered an advantage but not essential) or CRM systems

  5. Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines

  6. Proficient in the use of Microsoft Office suite, particularly Excel and Word

  7. A relevant qualification in business administration, finance, or a related field would be highly regarded

  8. Must have Australian citizenship, permanent residency, or valid work visa

  9. Understanding of financial services regulations and compliance requirements (training provided for the right candidate)

  10. Ability to pass a National Police Check and credit assessment due to financial services nature of the role
